You typed something like “I need a bookkeeper” into Google, which usually means one of three things: the books are behind, tax season went badly, or you’re spending evenings on reconciliations instead of your business. Here are the practical answers, in order.

What a bookkeeper actually does (and what they don’t)

A bookkeeper records and reconciles what happened with your money: bank and credit-card reconciliation, transaction categorisation, AP/AR, payroll processing, and monthly statements — a P&L and balance sheet you can actually read. A bookkeeper is not a CPA: CPAs file returns, represent you before the IRS and advise on tax strategy. Most small businesses need a bookkeeper monthly and a CPA a few times a year — and clean monthly books make the CPA cheaper, because nobody is billing hours to untangle a year of mess in March.

What a bookkeeper costs in 2026

$30–$60/hr
Freelance / hourly

Works for very small books; costs turn unpredictable as volume grows.

$200–$900/mo
Monthly service — most common

Depends on volume, accounts, payroll and sales tax. Ecommerce with inventory sits toward the top.

$45–60k/yr
In-house hire

Plus benefits. Rarely justified below several hundred transactions a month.

Careful at the bottom of the market: a $75–$100/month service can only spend an hour or two on your books — that’s data entry, not bookkeeping. When a price sounds impossible, reconciliations are where the corners got cut, and you find out at tax time.

How to choose: six questions that separate good from bad

1
“Who works on my books, and who reviews the work?”

A named person plus a review step. Vagueness here predicts vagueness in your books.

2
“Which software are you certified in?”

QuickBooks Online and Xero cover most US small businesses. Ask to see the certification.

3
“How do you handle my data?”

View-only or accountant-level access, no passwords over email, a straight answer on storage.

4
“What does month-end look like?”

A specific close process with a deadline — statements delivered on a fixed day each month.

5
“What happens when something is unclear?”

Good bookkeepers keep an open-items list and ask. Bad ones guess, and guesses compound.

6
“Can you show me a review record?”

Volume matters: 4.9 across hundreds of reviews beats a handful of testimonials.

What you’ll hand over on day one

Lighter than most owners expect: view-only or accountant access to your accounting software (or a fresh setup), bank and card read access or statements, access to payroll and payment processors (Stripe, Shopify, PayPal, Square), and last year’s return if you have one. A competent firm handles setup from there — you shouldn’t be doing data entry to help your bookkeeper.

Behind on your books? Read this first

Months or years behind means you need catch-up bookkeeping before monthly service starts — reconstruction and reconciliation of the backlog, once, at a fixed quote. Any firm that starts monthly service on top of unreconciled history is building on sand. Messy QuickBooks specifically? That’s a QuickBooks cleanup.

Common questions

Do I need a bookkeeper or an accountant?
Both, usually — a bookkeeper monthly for clean books, a CPA a few times a year for filings and strategy. If you can only afford one, start with the bookkeeper: clean books make every CPA hour cheaper.
Is a remote bookkeeper safe?
Yes, when access is done right: view-only or accountant-level roles inside QuickBooks or Xero, no shared passwords, bank feeds read-only. You never hand over money movement.
How fast can someone take over my books?
With access granted, a current set of books transfers in days. A backlog needs a catch-up project first — typically quoted fixed after a short review of the file.
What does Cloud Accountants charge?
Fixed monthly pricing quoted after a short call, based on volume and complexity — see packages. Every engagement starts with the free review, so you know the scope before you pay anything.
